Whether you are migrating from an old intranet or starting from scratch, following these five steps will ensure your workplace platform becomes the heartbeat of your company.

1. Define Your Use Cases Early

Don’t try to boil the ocean on day one. Identify the “pain points” your employees face today. Is it finding HR documents? Is it a lack of social connection? Define 3-5 core problems the workplace platform will solve immediately. This focus allows you to build a launch narrative that resonates with the staff.

2. Recruit “Platform Champions”

Identify influential employees across different departments—not just managers—to be early adopters. Give them early access to the workplace platform and let them help design the channel structures and folder hierarchies. When the rest of the company joins, they will see an active, populated environment rather than a blank screen.

3. Audit and Clean Your Content

Crucially, provide tiered training:

  • Quick Start Guides: For the casual user.

  • Deep Dives: For power users and admins.

  • On-Demand Videos: For those who prefer to learn at their own pace.

5. Iterate Based on Feedback

The launch is just the beginning. Use the analytics tools within your workplace platform to see which features are being used and which are being ignored. Set up a feedback channel where employees can suggest improvements. A digital workspace should be a living, breathing entity that evolves alongside the company.
